Keytree helps Karium move to Amazon Web Services Cloud

Godrej is an Indian conglomerate which employ in the region of 30,000 people and operates in sectors as diverse as consumer products, real estate and industrial engineering. Godrej made a strategic decision to divest its UK business in its entirety. As a result, Karium was born – the consumer goods company operating in the health and beauty business. But separating the UK arm of its business meant that Godrej needed to divest, localise and transfer over to Karium all related applications, all of which were in place within the Indian-based organisation.

Keytree were engaged during the commercial negotiations to provide advisory and assurance processes to conclude the divestment and then manage the migration. Keytree provided an essential range of services to make the transition a success including the introduction of a cloud strategy, data centre design, migration project delivery including the technical guidance and leadership to develop and deliver the cutover strategy to minimise the business impact.

Keytree provided Karium with the technical direction and architectural assistance for all applications, in relation to the methods and opportunities for moving these away from their existing environment straight onto Amazon Web Services (AWS). This strategy also included a full review of the architectural principles they were following, and in turn, Keytree aligned Karium to architectural methodologies, underpinned by the AWS Well Architected Framework, that will help the transition to a more modern, flexible, and secure approach.

“The key to the success of this migration and the ongoing service is the relationship. From the very beginning, Keytree showed a willingness and flexibility to work with Karium and Godrej, allocating the appropriate people with the right knowledge and skills to deliver with us this mission-critical project.”

Moving on-premise applications to the cloud – across continents

As a new standalone organisation, Karium needs to run on independent systems. The expectation from the outset was that all systems are migrated within a contractual timeframe but with Karium staff based in the UK and the on-premise applications running in India, the transfer would also require some systems to be partially rebuilt. Keytree and Karium decided on a cloud-based approach – providing Karium with access to specific cloud functionalities, to ease the migration of the on-premise applications from India to the UK. The key challenge was the migration and how it could be achieved in a quick and efficient way.

The infrastructure, based in a data centre in India, included SAP applications, Oracle Demantra, a forecasting tool and QlikView, a BI Report platform. The infrastructure also needed to provide authentication services, secure remote access for third parties and integration into all Karium’s trading partners and systems. As SAP migration experts, Keytree utilised the inherent replication functionalities within SAP HANA to migrate the database to the cloud optimised solution in AWS.

This technique allows the setup and migration of the data to happen in advance of cutover activity without disrupting any activity on the source systems. It also enables the cutover to be executed in hours rather than days, ideal for customers with time-sensitive outage windows.

In addition, Keytree used cloud-native services from AWS to migrate whole machines to Karium’s new virtual private cloud. The AWS Migration Hub, in conjunction with the AWS Application Discovery Service and Server Migration Service, was the solution that enabled Keytree to take a copy of the source machines every three hours and synchronise it to AWS.

By utilising the AWS Application Discovery Service, Keytree were able to understand, at a very detailed level, what was installed and more importantly, how the system was being accessed and used. Analysis of this information enabled Keytree to make crucial decisions on the configuration, security and installation of the systems in the AWS Virtual Private Cloud (VPC).

Keytree Managed Service

Godrej UK was previously supported by the Godrej India IT function. Both the cloud strategy and technical architecture was designed to maximise the use of automation and cloud, and minimise the ongoing demand for human operations. Keytree established a Managed Service model providing application, technical and hosting services so Karium did not need to establish their own IT function to support their new data centre and enterprise systems. Keytree’s 24/7 Service Desk is now available to Karium managing Incidents, Service Requests and Change Requests for their core applications and provides a Service Integration And Management (SIAM) service layer for the third-party support providers for Demantra and Qlikview.

“Keytree engaged from the outset to listen, advise and deliver the infrastructure and application services we needed – not only the purely Keytree responsibilities but in partnership with our other suppliers such as the applications Oracle Demantra, Qlikview and EDI. Now we are in a position of confidence to develop our applications further after a successful delivery – working with the professional post-transition team at Keytree, again with excellent working relationships continually looking to improve and seek out efficiencies.”

Business benefits

In addition to providing a fully managed cloud optimised virtual data centre for Karium, Keytree were also able to provide additional benefits via our cloud tooling built for AWS. Central to this is Keytree’s Intelligent Scheduler which enabled Karium to reduce its compute spend on non-production machines by 65%. The scheduler safely stops the applications and database prior to shutting down the AWS instance, ensuring that Karium only pays for what they use when they need it. Backups are also fully integrated into cloud-native services like EBS snapshots and S3, ensuring that systems can be restored or copied at any time. As part of our ongoing commitment to providing cloud at the lowest possible cost, Keytree’s tooling analyses the running systems to look for any efficiencies and savings that can be delivered to Karium.

It can be a steep learning curve for any organisation making the move to the cloud but Keytree’s extensive experience and delivery capability took away the complexity for Karium and made it easy for Godrej India to understand what was needed from them. Keytree was able to set up a completely new environment within a short period of time, enabling the business to then move forward and not be constrained by old IT practices. With Project Liberty complete and Karium in control of their own systems, Keytree and Karium are excited to now look at what comes next. The changes Karium can make to suit their business, the flexibility Keytree has introduced to allow the business to respond to new requirements and the optimisations they can now introduce such as single sign-on with the right business outcomes focused partnership in place.
